Haslop & Mason

Privacy Policy

How we collect, use, and protect your personal information.

Haslop and Mason Engineering (Pty) Ltd is committed to protecting the personal information of the people who use its website and who buy from it. This policy explains what personal information we collect, why we collect it, how we use and protect it, who we share it with, and the rights you have. It is provided in line with the Protection of Personal Information Act, 2013 (POPIA).

4.1 Who we are

The responsible party for your personal information is Haslop and Mason Engineering (Pty) Ltd, of 244 Commercial Road, Gqeberha. Our Information Officer is Lyle Wentzel. You can reach us about any privacy matter at lyle@handm.co.za or on 041 451 0935.

4.2 What personal information we collect

We collect personal information directly from you when you register for an account, request a quote, place an order, or contact us. This typically includes:

  • Your name and the name of the business you represent.
  • Your contact details, including email address, telephone number, and delivery or business address.
  • Account login details, being your username and a securely stored password.
  • The details of the quotes and orders you place, and your transaction history with us.
  • Any information you give us when you contact us or lodge a complaint.

We also collect limited technical information automatically when you use the website, such as your IP address and how you use the site. This is dealt with in our Cookie Policy.

4.3 Why we collect it and our lawful basis

We process your personal information for the following purposes:

  • To create and manage your account, including reviewing and approving your registration before you can place orders.
  • To prepare quotes, process and fulfil your orders, and arrange delivery.
  • To invoice you and manage your account, including returns, credits, and warranty claims.
  • To respond to your enquiries and handle complaints.
  • To meet our legal, tax, and record-keeping obligations.

We rely on the lawful bases permitted under POPIA, which include processing necessary to conclude or perform a contract with you, processing necessary to comply with our legal obligations, processing that serves our legitimate business interests, and, where required, your consent.

4.4 Account registration and approval

Ordering from the Haslop and Mason website requires an approved account. When you register, your account remains pending until Haslop and Mason has reviewed your details. Only once your account is approved are you able to place an order. We review registrations to confirm that applicants are genuine trade or business customers and to protect the integrity of our account system.

4.5 Who we share your information with

We do not sell your personal information. We share it only where necessary, and only with parties who are required to protect it:

Hosting provider. Our website is hosted on a dedicated server at xneelo, which stores the website data on our behalf.

Service providers. We may share information with couriers and delivery partners to fulfil your order, and with our payment and banking providers to process settlement. The couriers we currently use are Transmart Couriers, Triton Express Couriers, and JKJ Couriers.

Authorities. We may disclose information where we are required to do so by law, or to protect our legal rights.

Our quoting and customer system is built and operated in-house by Haslop and Mason and is not provided by a third-party CRM vendor.

4.6 Direct marketing

Haslop and Mason does not send marketing emails or electronic newsletters from its website, and the website has no newsletter signup. We do not use a third-party email marketing service. Any newsletter activity is carried out through LinkedIn's own newsletter feature and is governed by LinkedIn's terms and your LinkedIn settings, not through this website.

4.7 How long we keep it

We keep your personal information only for as long as necessary for the purposes set out above, and for as long as the law requires us to keep transaction and tax records. When information is no longer needed, we delete or de-identify it.

4.8 How we protect it

We take reasonable technical and organisational measures to protect your personal information against loss, unauthorised access, and misuse. Account passwords are stored securely, and access to customer information is limited to staff who need it to do their work. No system can be guaranteed to be completely secure, but we take our obligations seriously and review our measures.

4.9 Your rights

Under POPIA you have the right to:

  • Ask what personal information we hold about you and request a copy of it.
  • Ask us to correct or update information that is inaccurate or out of date.
  • Ask us to delete information where we are no longer entitled to keep it.
  • Object to processing in certain circumstances.

To exercise any of these rights, contact our Information Officer Lyle Wentzel at lyle@handm.co.za. You also have the right to lodge a complaint with the Information Regulator (South Africa) if you believe we have not handled your information properly. The Information Regulator can be contacted at:
